Tour & event activation · OSBW™ Operating System

Every event runs on four directions.

Own the message. Share the organization. Be the experience. Stay with the place and the people. This playbook sorts every part of a tour or live-event activation into the OSBW™ categories, so each person on the team knows which direction they are working in.

TASTE
Own It · Taste · Communication

Own the message.

Before anyone arrives at the venue, the team owns what it will say, who it works for, and what it is allowed to do. One voice, repeated the same way by every person on the floor.

ECHO
AuthenticitySpeak the mission plainly.
ClarityOne sentence a guest can repeat.
ConsistencySame words on the floor, card and page.
CourageBe visible and invite first.
CreativityTell the SoundWater story memorably.
Role clarity

Know who hired whom

Separate event-organizer staff from brand ambassadors. Confirm employer, supervisor, permitted activity, pay, breaks, attire, and whether outside promotion is allowed.

Role card

One page per person

Supervisor, arrival time, dress, breaks, approved talking points, emergency contact, and prohibited activity.

Honest claims

Say only what is verified

No health claims, no promised outcomes, no projected earnings, no implied partnerships the organizer has not approved in writing.

The opening line

“How are you feeling?”

“Hi, I’m with Geobody and Big Prayer Museum. We create ways to explore positive participation through the senses, movement, and community. Would you like a quick look, or a QR card to explore later?”

Let the guest choose. If they decline, thank them and give them space.

SoundWaterOwns the message: sound carries instruction, water represents transmission. Every talking point starts here.

SMELL
Share It · Smell · Organization

Share the organization.

Organization is shared work: the booking, the schedule, the staff, the budget. Get this right and the floor stays calm. Plan one pilot event before building a tour.

Budget the whole activation

  1. Staffing: hourly pay × hours × staff count, plus employer costs.
  2. Travel: mileage or airfare, lodging, meals, local transport.
  3. Production: signage, approved shirts, demo items, QR cards, setup. Choose reusable, low-waste materials.
  4. Revenue: record only confirmed sponsorships, sales, or paid commitments.
  5. Decision: compare verified net proceeds and qualified follow-up against total cost.

Set a spending cap and success measures before booking.

Notice

Ask the guest what they noticed about the event, the music, the room. Listen before you share.

Act

One positive step

Lead a Geobody Sense of the Day: one small movement or sense exercise that takes under two minutes.

Positive

Leave it light

With It · See · Location

Stay with it.

Place is where the relationship continues. Every guest should be able to see where to go next, in person or online, and the team should see what the event actually produced.
